Accounts Receivable


Designed specifically for the public sector,FundWare Accounts Receivable allows our clients to automate processes previously done manually. It includes all of the core functionality required to manage receivables, including the ability to create and manage invoices and statements.

A unique new feature is the ability to enter, store, and print multiple 250-character fields for customer notes, instead of the typical single 250-character free-form text field. This allows for a greater level of flexibility for recording information about customers, such as collection notes, special circumstances, or other text-based information.

Accounts Receivable also offers the ability to assign all like customers to specific groups, making communication easier for FundWare clients who wish to contact an entire category of customers at the same time. This grouping feature allows increased productivity in many ways such as creating invoices for groups of customers. Fully integrated with FundWare General Ledger and Project/Grant modules,FundWare Accounts Receivable delivers excellent cash flow management.

Cash Receipts
Accounts Receivable is fully integrated with FundWare Cash Receipts allowing all payments, whether they are related to an invoice or simply a miscellaneous receipt, to be entered on the same screen. Clients who have already installed and utilized Cash Receipts will find that all of their customer and revenue codes are available through Accounts Receivable as well. This true integration allows exceptional flexibility in tracking and managing revenue from all sources.

Query
Accounts Receivable features Query, an enhanced analysis and reporting tool that provides easy access to data, either on-screen or printed. Query significantly increases productivity allowing clients to capture and view data in real time, rather than having to produce cumbersome reports that may or may not have the flexibility to reveal the desired data. While a standard set of queries is included, clients can define their own queries and make them available to others or keep them for private use only.

Customer Account Management

  • Delete groups.
  • Assign customers to more than one group.
  • Modify customer groups easily, through a maintenance drop-down menu or from within individual customer records.

3. Maintain and view unlimited years of transaction history, drilling down to complete invoice and receipt detail. (Click on screen image.)

4. Use credit memos to adjust customer accounts for a complete audit trail.

5. Create memo invoices to track pledged funds before they have been received and convert to standard invoice to recognize revenue. (Click on screen image.)

6. Place customer accounts on hold when credit limits are exceeded.

7. Designate customer accounts inactive to prevent further data entry.

8. Store multiple addresses and contacts.

9. Access up-to-the-minute aged account balances.

Billing and Payment Application

1. Assign revenue codes that may be distributed among multiple accounts, based on user-defined percentages or fixed amounts, to identify different types of charges.

2. Produce variable aging reports based on invoice date or due date.

  • Determine the number of columns to display.
  • Define the increment of time among columns.

3. Record non-invoiced revenue with FundWare Cash Receipts (included with Accounts Receivable), without generating an invoice.

4. Apply overpayments to amount due as well as future account balances.

5. Calculate document due dates from the invoicing date by defining terms.

Invoice and Statement Generation

1. Print invoices on plain paper with fields available to accommodate logo and remit address.

2. Print invoices as you enter them, or print later in batches.

3. Reprint copies of original invoices, and provide customers with recap statements for any range of dates.

Reporting and Analysis

1. Utilize numerous, ready-to-go reports for customers, invoices and payments.

2. Report across fiscal years on any date range.

3. Utilize Query to capture and view real time data.

  • Define filters, producing refined data.
  • Create, save, edit, or delete queries.
  • Copy queries to reuse and create new queries.
  • Utilize pre-defined queries which are included.
  • Print or export data.
  • Define font type, size, and color.
  • Move and hide columns, and sort by column.
  • Merge cells to eliminate duplicate listings.
